  • are designated by their employer as our contacts for the purpose of servicing your account
  • contact us or request information from us
  • from third parties, such as insurance companies, service providers and your employer
  • otherwise provide us with their contact details or other personal data.

We also receive data about employees of our clients through employment-related records and information, such as benefit plan participants or other employee census data. This information is used solely to service your account, is not used in any other way or for any other purpose and is only used as permitted or required by law.

How we may use personal information:

During our general business practices, we may disclose the information that we collect about you or others to third parties that assist us in quoting, processing, and servicing your account. We only share information as permitted or required by law.

We may disclose personal information:

  • internally
  • to insurance companies and third parties for quoting, implementing, and servicing insurance and benefit programs
  • to your employer in the process of providing employee benefits to you and your family
  • vendors who service your insurance plans, such as COBRA administration, enrollment support and services requested by your employer

If you have provided confidential medical information to us, such as data needed for a health or life insurance application, we will not share that information unless it is necessary for us to obtain pricing or to provide service for your policy. Whenever other companies or third parties provide services for us or on our behalf, we require a contract to maintain the confidentiality of the information that we provide them.

We have not ever sold private information to any other parties.

Safeguards to protect your personal information:

We restrict access to nonpublic personal information about you to those employees who need to know that information to provide products or services to you. We maintain physical, electronic, and procedural safeguards that comply with federal and state regulations to guard your nonpublic personal information. We use HIPAA certified encryption software whenever personal information is being transmitted to any party and we request that you use the upload links when you are sending us private information. We take measures to protect your data and provide tools for you to transmit information to use securely, but we can’t guarantee absolute security due to the nature of the internet and unforeseen threats.  In accordance with HIPAA, we will notify you in the unlikely event the security of your protected health information has been breached.

Integrity of the data we maintain:

We process personal information only for the purposes for which it was collected and in accordance with this Policy. We review our data collection, storage, and processing practices to ensure that we only collect, store, and process the personal information needed to provide or improve our services. We will take all reasonable steps to make the requested changes promptly. However, you should be aware that it is not technologically possible to change or delete each instance of the data we maintain about you from our systems, and Contact Data may remain in non-erasable forms. We may retain Contact Data for a period in our backup systems. We may also retain some data for longer periods as required by law, contract, or auditing requirements.

We have the right to disclose any personal information without your prior permission if we have a good faith belief that such action is necessary to protect and defend the rights, property, or safety of Amalyn, its clients, suppliers, or the public.

With regards to the California Consumer Privacy Act of 2018 (CCPA), We do not engage in selling personal information or “personal information selling”.

California Civil Code Section 1798.83, commonly known as the “Shine The Light” law, permits our customers who are State of California residents to request and obtain from Us once a year, free of charge, information about the personal information (if any) we collected and disclosed to third parties for direct marketing purposes in the preceding calendar year. If applicable, this information would include a list of the categories of personal information that was shared and the names and addresses of all third parties with which we shared information in the immediately preceding calendar year.
